Minutes of the Board of Directors for the USGenWeb Census Project Meeting held January 21st, 2002 via Internet using mIRC beginning at 8:22 PM EDT and ending at 9:49 PM EDT. Present: Wayne Duncan, President Ellen Horner, Vice President Sandy Onbey, Secretary/Treasurer April Phillips Connie Burkett Sue Soden A quorum being set, the meeting was called to order by Wayne Duncan. Officer, board, or standing committee reports: None presented Special orders addressed: None Minutes of the January 7th, 2002 meeting as sent electronically have been received by all present and there being no discussion or corrections are accepted as sent. Old Business: USTPO LETTER: Wayne Duncan commented that he had not received a response regarding the USTPO letter he had sent, but that Ron Eason would probably receive it as he is the registered agent. The letter was sent Priority Mail and was registered as received on the 7th, well within the deadline, on the USTPO website. FEES: Wayne Duncan will pay the annual domain registration fee of $25.00 and the USGenNet annual fee of $25.00 as well he will pay for two years or a total of $100.00. All Board members present agreed to send Wayne a portion so he will not carry the financial burden himself. SERVER PROBLEMS: BigSky will be acquiring another T1 line to help with the bandwidth problems. There is a chance that the fee they charge USGenNet will increase and the usage has increased from 7% to over 50%. We should also be prepared for some additional costs as a result of that SEPTEMBER 11th MEMORIAL PAGE: Sandy Onbey sent Sue Soden a message containing permission from Paul Shearling to use the poem he wrote for the tragic events of September 11th, 2001. She also mentioned that while he did not ask, it might be nice to include his e-mail address when we put the page back up. LETTER REGARDING USE OF OUR FILES FOR AN 1850 SEARCH ENGINE: There has been no reply as yet other than the one that was posted on our list. Files in total will not be collected only search criteria. BLIP ON DONATING TO ARCHIVES: There was a discussion regarding add a blip to our completion page letting the transcribers know they could also donate their work to the USGW Archives (also known as the Digital Library) if they so desired. It may help to create a feeling of good will so that we can possibly all get along and get back to some sort of harmony. New Business: NEW STATE COORDINATORS Motion #2002-15 was made by Sandy Onbey to accept both Jan Cortez as SC-WI and Judi Gharst as SC-FL, conditional on their acceptance of the requirements posted on the SC page on our website. April Philips seconded the motion. The floor was opened for discussion and there being none the motion was put to a vote. The motion was carried with 5-aye votes 1 non-voting vote and 1 member absent. Wayne Duncan will contact both Jan Cortez and Judi Gharst about the SC pages and getting a short bio from them. NON-ROOTSWEB IMAGE FILES: It was agreed to link to image files outside of Rootsweb if they are of better quality and we have permission. This will be of tremendous help to our transcribers as well as to researchers. President Wayne Duncan adjourned the meeting at 9:49 PM EDT to reconvene on February 4, 2002 at 8:00 PM EDT.
