Minutes of the Board of Directors for the USGenWeb Census Project Meeting held February 18th, 2002 via Internet using mIRC beginning at 8:15 PM EST and ending at 9:08 PM EDT. Present: Wayne Duncan, President Ellen Horner, Vice President Sandy Onbey, Secretary/Treasurer April Phillips Connie Burkett Sue Soden A quorum being set, the meeting was called to order by Wayne Duncan. Officer, board, or standing committee reports: None Special orders addressed: None Minutes of the February 4th, 2002 meeting, as sent electronically, have been received by all present and there being no discussion or corrections are accepted as sent. Old Business: USPTO: Wayne Duncan let us all know that there had been nothing received from the USPTO office and that there had been no changes to our information on their website since our last meeting. It was agreed that if there was no contact by the end of February, that Wayne would contact them again. NEW STATE COORDINATORS: While Wayne had not heard from either of our new State Coordinators, he did mention that Connie and Ron were acting as their mentors and helping them get started. It was noted that we needed to ask the State Coordinators to update their information with Wayne and he will create an updated database. Wayne will send out a request on cens_assist for their current name, regular mail address, phone number, and e-mail. OK DATABASE: Sandy mentioned that she was updating the database she received. Sue offered to send her a copy of hers to be updated and then it could be sent back for her records. LAURA ROBERTS: After having volunteered for all the state/counties and years that we have and several of us writing back to her, April mentioned that she had heard from her. She has been assigned as a transcriber and proofreader with one of April's teams. New Business: 1930 CENSUS: Connie stated that we were ready for the 1930 census release. There are 120,105 Eds on 2,667 rolls for the entire Population Schedules. Only a few states have Soundex - - - Alabama, Arkansas, Florida, Georgia, Kentucky (Bell, Floyd, Harlan, Kenton, Muhlenberg, Perry, and Pike Counties), Louisiana, Mississippi, North Carolina, South Carolina, Tennessee, Virginia, and West Virginia (Fayette, Harrison, Kanawha, Logan, McDowell, Mercer, and Raleigh Counties). There is no national index for this census and so it will be extremely hard for the researchers to find a name if it is in a state that in not Soundexed. We discussed making a 1930 page for reach state to reference the films and Eds so that our researchers wouldn't have to leave our site. It was suggested that we add the 1930 information to the pages as assignments are made for an individual county and also that most of the county/years will need to be done with teams. It was decided to do an extended INDEX file first, but to still insist on proofreading and these could be finished as full transcriptions later. For the extended index we will add columns for race, gender, and relationship to the columns we are already doing. Connie agreed to get the 1930 Index templates created. We will also have to get the "1930" added to our sign-up form as well. Connie will be sending several URLs on the 1930s to each of us.
